Glossary

Terms the case studies use

Plain definitions for words that already appear in the case studies, each with a link to that use. 510(k), 270/271 eligibility transactions, and warm transfer do not appear in the cases, so they are not listed.

Write-back

Writing a change from the phone system or the AI into the practice management system, instead of only leaving a note for staff. The Mango Voice case uses the term for Margo and Open Dental: the office says Margo takes notes but cannot act on them.

PMS

Short for practice management system, the software that holds the schedule and the chart. The case studies use PMS for that system. Open Dental is the system named when a front-desk case says which one the office runs. The LA-area case and the Mango case both name Open Dental.

BAA

A business associate agreement. In these case studies it is the written agreement discussed before a vendor handles patient information. The scribe roundup and the ChatGPT and Claude case both say to check which plan includes one. The scribe case also says a product page can call itself HIPAA compliant without saying how to get a BAA.

Ambient notes

Notes drafted from audio recorded during the visit, rather than from a typed template alone. The scribe roundup lists Overjet Voice as ambient notes. That case also says a clinician should check the draft. Overjet Voice is one product in that roundup, listed with other scribe tools.

AI scribes case

Perio charting

Recording periodontal pocket depths and the other findings from a perio exam. The Heartland Dental case is about voice perio charting: the hygienist calls out the readings and Bola's software enters them in the chart. That case is a vendor report of a pilot in 27 Heartland Dental-supported offices.

Eligibility

A check, before the visit, of whether a dental plan is active and what it says it covers. The DentalXChange case is about an eligibility tool one dentist cancelled after it showed a crown as 50% covered when coverage was 0%.

EOB

Explanation of benefits: the payer's note of what it paid on a claim and what is left for the patient. An insurance case mentions offices posting EOBs with a different tool. No case on this site is only about EOB posting.

Overjet insurance verification case

Clean claim

A dental claim sent without the mistakes that get it rejected or denied. The Signature Dental Partners case is about automating clean claim submission as the first workflow, not the whole revenue cycle. That case labels its denial and turnaround figures as self-reported.

AI receptionist

Software that answers a dental office's phone. In the three front-desk cases it takes overflow or after-hours calls, and it may book, take a message, or transfer. None of those cases names a single best product. One case is a vendor report, one is a staff call-log audit of an unnamed product, and one covers two add-ons.

Front desk and phones hub

AI scribe

Software that drafts a clinical note from speech or a recording. The notes hub has two cases: a voice perio charting pilot, and a roundup of scribe tools in which dentists say their own templates matter. The roundup is not a side-by-side trial and does not pick a winner.

HIPAA

The US health-privacy law cited when these cases discuss patient information in an AI tool. The pages report what the sources said about agreements and about keeping names and other identifiers out of the chat. They are not legal advice.
