Resonate's case study says Family First Dental, part of Dentive Dental Group, texted people who called 5 practices and were not answered. Over 8 weeks Resonate says that produced 175 appointments, 81 of them booked by the AI, at $450 per location per month. The $131,904 figure on the page is an annual new-patient projection.

## Did it work? Results

- Resonate's case study says that in an 8-week pilot, 1,479 missed calls were handled, 972 AI conversations were conducted, and 688 patients were successfully engaged. (https://www.resonateapp.com/resources/family-first-dental-captures-175-appointments-and-131k-in-annual-revenue-with-resonate-ai)
- Resonate's case study says 175 appointments were booked: 81 directly by the AI and 94 by staff from leads the AI had captured. It says 39 of those were new patients and 136 were existing patients. - Resonate's case study says 39 new patients at an average value of $916 equal $35,724 in captured revenue. It also lists monthly new-patient revenue of $10,992 and an annual projection of $131,904, and it says that projection is for new patients only. - Resonate's case study lists the investment as $450 per location per month and calls the return 4.9x. It says that multiple is conservative because it leaves out existing-patient revenue. The page does not show the division. (https://www.resonateapp.com/resources/family-first-dental-captures-175-appointments-and-131k-in-annual-revenue-with-resonate-ai)
- Resonate's case study says the show rate for booked appointments was 74%, and that the group's previous online scheduling had a 25% show rate. The page calls 74% three times that earlier show rate. - Resonate's case study calls patient engagement 71% and conversion from conversation to appointment request 26%. It does not show either division. (https://www.resonateapp.com/resources/family-first-dental-captures-175-appointments-and-131k-in-annual-revenue-with-resonate-ai)

## Who tried it, and why

Resonate's case study says Family First Dental, part of Dentive Dental Group, operates 5 practices and, over 8 weeks, found it was missing 1,479 calls, which the page calls nearly 185 a week. The page says that without data the group could not see how large the gap was, that Monday mornings were voicemail, and that an earlier online scheduler had a 25% show rate. It says patients calling at peak times often reached whichever practice answered first.

## What did they set up?

- The page's heading for the figures is "The Numbers: 8-Week Pilot Results." It says every missed call triggers an immediate text, and that the AI books inside scheduling rules the practice sets.
- The same section says the rollout also covered phone, web chat and proactive recall. It does not say how many of the 175 appointments came from the missed-call text.
- The page says the group started with 5 practices, watched the numbers in weekly meetings, and that a founder visited the team. It does not name the practice management system, the cities, or which 8 weeks these were.
- Not disclosed: the text of the message, which appointment types the AI was allowed to book, or whether a person still had to confirm an AI booking in the schedule.

## What did it cost?

Resonate's case study lists the investment as $450 per location per month. It does not print a total, say what that price includes, or say whether all 5 practices were billed for the whole pilot.

## What didn't go well?

- Every count is published by Resonate. The page does not link a schedule export, and it does not say which 8 weeks the pilot covered. The practice sites we opened do not mention Resonate.
- Staff booked 94 of the 175 appointments. The AI booked 81. The page still describes the text as booking inside the practice's rules.
- The $35,724 is what the page calls captured revenue for 39 new patients during the pilot. The $131,904 is labeled an annual projection. The page's meta description says the group generated $131K in annual dental revenue in 8 weeks. Those two wordings are not the same.
- Our check of the vendor's arithmetic: 39 × $916 = $35,724, and $10,992 × 12 = $131,904. $10,992 ÷ $916 = 12 new patients a month. Scaling the pilot's 39 new patients from 8 weeks to 52 weeks is 253.5 patients, or $232,206, which the page does not print. The page does not show the step from 39 new patients in 8 weeks to 12 a month. $10,992 ÷ ($450 × 5) = 4.885, which rounds to the printed 4.9x. The page also multiplies $131,904 to $527,616 for 20 practices and $2,638,080 for 100 practices. Those two lines are the projection scaled up. They are not a second measurement.
- Our check of the other rates: 1,479 ÷ 8 = 184.875, which the page calls nearly 185 a week. 688 ÷ 972 = 70.8%, which the page rounds to 71% engaged. 175 ÷ 972 = 18.0%, and 175 ÷ 688 = 25.4%. Neither is the printed 26% conversion from conversation to appointment request. On a separate recall test on the same page, 52 ÷ 199 = 26.1%. The page does not say whether those 52 recall requests sit inside the 175.
- The 74% show rate has no numerator on the page, so the kept-appointment count cannot be rebuilt. 74 ÷ 25 = 2.96, which the page calls 3x the old online scheduler. That comparison is against online scheduling, and the page gives the 25% figure no dates and no sample size.
- The same page reports a separate recall test: 199 recall-due patients contacted, 52 appointment requests, 29 booked by the AI, and zero staff hours. This case does not treat that test as the missed-call result. Recall at another group is a different case on this site.
- The page says 100% staff adoption, same-day issue resolution, and 12 product improvements during the pilot. It does not define adoption or list the 12 changes. A product that changed during the 8 weeks is a moving target for the counts.
- Resonate does not name the cities or the practice management system. A Family First Dental site read on 2026-10-27 lists five offices in Kennewick, North Richland and West Richland, Washington, and does not mention Dentive or Resonate. Dentive's contact page, read the same day, gives a Provo, Utah address and does not mention Family First Dental or Resonate. A different group, Family 1st Dental, says it has 30 locations in Nebraska and Iowa and does not mention Resonate. The similar name is a different practice.
- The page opens with a cancellation story that includes a patient's medical detail. We do not repeat it. It is not a count.

## Takeaways

- Ask for the missed-call text on its own: how many unanswered calls were texted, how many replied, how many appointments the AI created, and how many a person still booked. This page mixes the text with web chat and a recall test and does not split the 175.
- Treat an annual dollar figure as a projection until the page shows collections for a stated period. Here the pilot figure for new patients is $35,724 over 8 weeks. The $131,904 is the page's annual projection, and it equals 12 new patients a month at $916, not a straight scale of the 39 new patients in the pilot.
- Ask what "booked by AI" means in your practice management system, and ask for the show count behind any show rate. This page gives 74% and does not give the number of visits kept. It also does not name the software.
- Get the price per location in writing, and ask whether staff time on the leads the AI hands over is included. This page prints $450 per location per month and says staff booked 94 of the 175 appointments.
- Before you compare yourself with this pilot, write down your own missed calls for the same number of weeks. The page's 1,479 is the count from the 8 weeks it is reporting, and it does not give a separate before-and-after rate.

## Prompt to try (written by us)

Write the rules for a missed-call text before you turn it on

```
You are helping a dental office manager set rules for an AI that texts someone after a call is not answered, and that may book a visit. Using only the practice details below, draft a one-page rule sheet. Include: (1) which unanswered calls get a text (during office hours, after hours, or both) and which must never get one; (2) how soon the text goes out, how many follow-ups, and the exact stop when someone says no; (3) which visit types the AI may book, with length and provider, and which requests must go to a person; (4) what the AI may say about insurance, fees and emergencies, and what it must not promise; (5) the weekly report we want: missed calls, texts sent, replies, appointments the AI created in the practice management system, appointments a person created from those replies, appointments kept, and threads a person had to finish. Ask me for anything missing. Do not include any patient name, phone number, or chart note.
