Some offices are trying the AI receptionists that their current phone or practice-platform vendor now sells as an add-on. One office uses Dental Intel's only for overflow and after hours, and it books new patients at night. Another tester couldn't reach the doctor in a mock emergency. A Mango Voice office says Margo gets clearer caller details than staff do, but it can't write back to Open Dental and its calls are hard to track.

## Did it work? Results

- Practitioner report (Dental Intel): about a month after starting, using it only for overflow and after hours, the office says the AI had booked a number of patients, including new patients after hours, and fills openings in the hygiene schedule. (https://www.reddit.com/r/Dentists/comments/1whrwge/has_anyone_here_actually_used_an_ai_phone/pboijr2/)
- Practitioner report (Dental Intel): the same office says the AI handled an emergency call by forwarding the patient to the office's emergency line, and took a few payments after hours. (https://www.reddit.com/r/Dentists/comments/1whrwge/has_anyone_here_actually_used_an_ai_phone/pboijr2/)
- Practitioner report (Dental Intel): some callers get frustrated. Once staff explain when the AI answers and what it can do, the office says there's been almost no pushback and estimates 99% of patients are fine with it. (https://www.reddit.com/r/Dentists/comments/1whrwge/has_anyone_here_actually_used_an_ai_phone/pbojlbb/)
- Practitioner report (Dental Intel, negative): a poster who tried it in July 2026, about 10 days after the public launch, found little room to customize it. Posing as a patient with an emergency, they couldn't get put through to the doctor. They still noted they'd heard some very good demos. (https://www.reddit.com/r/Dentistry/comments/1sgujam/ai_receptionist_for_after_hours/owl9dtt/)
- Vendor docs (Dental Intel): emergency detection, including forwarding the call to a person, came in the Sept 1, 2026 update, after that test. Dental Intel's main help article (updated Oct 7, 2026) says that for daytime overflow it can't transfer a caller to a team member mid-call. Calls that need a person get a summary so staff can follow up. The emergency-settings article lists call forwarding only as an alert option for calls it flags as emergencies. (https://educate.dentalintel.com/en/articles/14809457-ai-receptionist)
- Vendor docs (Dental Intel): a weekly AI Receptionist dashboard (total calls, after-hours calls, minutes used, average call duration, peak call hours, appointments scheduled) was added Sept 1, 2026. Dental Intel's Sept 29, 2026 update says call summaries are now also saved to the patient's record in the PMS. (https://educate.dentalintel.com/en/articles/17062336-september-29-2026-product-updates)
- Practitioner report (Mango Margo): apart from a few patients who hate AI, the practice finds that patients, new ones included, give Margo clearer and more usable information than they give staff on regular calls. (https://www.reddit.com/r/Dentists/comments/1wksx3m/i_got_tired_of_our_front_desk_missing_calls_so_i/pb2x1z8/)
- Practitioner report (Mango Margo): Mango doesn't count Margo-answered calls as missed, but the practice does. Margo has no dashboard: its recordings are mixed in with hundreds of other calls, and the office only gets an email when Margo answers, then has to search the call logs. (https://www.reddit.com/r/Dentists/comments/1wksx3m/i_got_tired_of_our_front_desk_missing_calls_so_i/pb2x1z8/)
- Practitioner report (Mango Margo): the biggest problem is no write-back to Open Dental. Margo takes notes but can't take action on them. (https://www.reddit.com/r/Dentists/comments/1wksx3m/i_got_tired_of_our_front_desk_missing_calls_so_i/pb2x1z8/)
- Vendor page (Mango): Mango's current dental page says Margo collects name, reason and callback number and then creates a callback task in the practice-management system. It doesn't claim Margo books appointments. In its sample call, Margo tells the patient the team will call back to find a time. (https://mangovoice.com/dental/practices)

## Who tried it, and why

Calls go unanswered when the front desk is on another line or the office is closed. Many offices already pay for a phone system (Mango Voice) or a patient-engagement and analytics platform (Dental Intelligence), and both vendors now sell an AI receptionist as an add-on. Buying from a vendor you already use looks easy. Whether it actually helps comes down to a few things: when the AI answers, whether it can put appointments into the practice-management system, whether you can see what it did, and how long the contract locks you in.

## What did they set up?

- Dental Intel office: staff answer first. A call goes to the AI Receptionist only after 3 unanswered rings, and every call goes to it after hours. Dental Intel's setup guide says the practice asks its VoIP provider to forward calls to a number Dental Intel provides, on a schedule, with an optional rule to forward after X unanswered rings.
- The same office tells patients plainly what the AI can and can't do, and that it answers only when the office is closed or staff are on another line. If the AI can't help, it takes the caller's details and sends them to the Dental Intel platform so staff can call back.
- Booking (Dental Intel's help docs): AI scheduling is in beta and needs Dental Intel Online Scheduling. You add each appointment type with the words patients use for it, then choose for each one whether the AI only requests the appointment (staff approve) or creates it straight in the PMS. Dental Intel suggests starting with new-patient exams and hygiene for returning patients only.
- Emergencies (Dental Intel's help docs, added in its Sept 1, 2026 update): a keyword list (toothache, swelling, knocked-out tooth and so on) marks a call as urgent. The practice sets separate alerts for business hours and after hours: inbox notification, email, text, or forwarding the call to a person such as the on-call doctor. If you delete keywords, the AI can no longer flag those calls.
- Mango Voice office (runs Open Dental): uses Margo. According to Mango's dental page, Margo picks up when the team is on another line, at lunch or closed, captures the caller's name, reason for calling and callback number, and creates a callback task in the PMS. Mango says Margo is built only for Mango Voice customers, and its pricing page includes Margo only in the top Complete plan.
- The Mango office also considered Modento's AI receptionist but decided against it because it didn't want to be locked in for another year. Modento has belonged to Dental Intelligence since 2021.

## What did it cost?

None of the offices said what they pay. Dental Intelligence sells the AI Receptionist as an add-on to its Engagement Module and doesn't publish a price. Its help center says the service includes 1,000 minutes a month, tracked under a quota-usage setting. Its cancellation policy (effective June 1, 2024) says agreements typically run a year and renew automatically. To stop renewal you must send a cancellation request at least 30 days before the renewal date, and you still owe the rest of the current term. Mango Voice's dental pricing page offers Margo only in the Complete plan at $449/month. The Voice + AI plan without Margo is $349 and Voice alone is $249. The page doesn't say whether prices are per location and gives no contract length. The Mango office said it would consider a month-to-month option and decided against Modento rather than commit to another year.

## What didn't go well?

- Dental Intel, mock emergency: a tester couldn't reach the doctor and found few customization options. The test was in July 2026, before Dental Intel released emergency keywords and call-forwarding alerts on Sept 1. We don't know how that tester had it configured.
- Dental Intel, daytime overflow: by the vendor's own documentation, it can't hand an ordinary caller to a staff member mid-call. Patients who need a person get a follow-up, not a transfer. Dental Intel also warns that the AI can make mistakes and says to review call summaries.
- Dental Intel, booking limits (vendor docs): scheduling is in beta and needs Dental Intel Online Scheduling. It won't schedule or request any appointment type you haven't set up for it, and it doesn't let patients pick a provider. It only matches a caller to their chart if they give the first name on their record, not a preferred name.
- Mango Margo: no write-back to Open Dental, no Margo dashboard, and Margo-answered calls aren't counted as missed. The office can't easily see what Margo handled or what still needs a callback.
- What went wrong elsewhere (r/Dentistry after-hours thread, April 2026, vendors not named): one office fired its AI receptionist vendor almost straight away after it booked patients on dates, at times and at locations that weren't open. Another dentist said it booked several crowns at the same time as emergencies and denture adjustments. That dentist scrapped it and says it disrupted the schedule for about two months.
- Also in that thread: an office still using one after hours calls it a fancy voicemail. Its data shows patients do engage with it, but the office can't tell whether it brings in new patients or just wastes time and money.

## Takeaways

- Start with overflow and after hours only. The office that's happy with Dental Intel has staff answer first and lets the AI pick up after 3 rings or when the office is closed.
- Ask exactly what 'books appointments' means for your PMS: does it create the appointment, send a request for staff to approve, or only leave a note or task? Dental Intel lets you choose for each appointment type. The Mango office says Margo couldn't write back to Open Dental at all.
- Ask how AI-answered calls are reported. Are they counted separately from calls staff answered and calls nobody answered? Is there a dashboard, and where are the recordings and summaries kept? Without that you can't tell if it's bringing in patients.
- Test emergencies yourself before go-live and again after any update: call after hours as a patient in pain and check the call reaches whoever is on call. Also ask whether it can transfer an ordinary caller to staff during business hours. Dental Intel's documentation says it can't yet.
- Ask about contract length before signing. Dental Intel says its agreements are typically annual and renew automatically unless you cancel at least 30 days ahead. The Mango office passed on another vendor rather than commit to another year.
- Turn on a few appointment types first (Dental Intel suggests new-patient exams and hygiene). The worst failures in the forums came from AI booking into dates, times and locations that weren't really open.
- Tell patients what it does. The Dental Intel office says explaining when the AI answers, and that it takes a message when it can't help, removed almost all pushback.

## Prompt to try (written by us)

Test an AI receptionist add-on before you sign

```
I manage a dental office. Our [phone system / practice platform] vendor, [VENDOR], is offering an AI receptionist add-on. We use [PMS: e.g., Open Dental, Dentrix, Eaglesoft]. We only want it for overflow (after [X] unanswered rings) and after hours. Our hours: [HOURS]. Locations: [LOCATIONS]. Emergency policy: [WHO IS ON CALL AND HOW TO REACH THEM]. Appointment types we'd let it book: [LIST WITH LENGTHS, PROVIDERS AND OPERATORIES].
1. Write 10 test calls I can make myself before go-live. For each, give a short caller script and the exact result I should see in our PMS and call log. Include: an after-hours patient in severe pain who needs the on-call doctor; a new patient asking for a cleaning; an existing patient rescheduling; a caller asking whether a specific insurance plan is in network; a caller who insists on talking to a person; a patient who gives a nickname instead of the first name on their chart; and a request for a time or location we don't offer.
2. List the questions I should ask the vendor, grouped under: write-back to [PMS] (does it create the appointment, request it for approval, or just leave a note/task?), call reporting (how AI-answered calls are counted, dashboard, where recordings and summaries are kept), transferring callers to staff during business hours, emergency routing, pricing (per location? minute caps?), and contract length, auto-renewal and cancellation notice.
3. Give me a one-page scorecard to fill in after the test calls and again after the first 30 days.
Don't assume any feature exists. Mark everything I need to confirm with the vendor in writing.
```
